ADMINISTRATIVE ASSISTANT
Reports To: Director of Sponsored Programs Administration
Job Summary
The Administrative Assistant for the Sponsored Programs Administration will be responsible for providing administrative support to the Sponsored Programs Administration (SPA), including data recording and maintenance, grant file set up, maintain filing system and assist with other administrative tasks as needed. The position reports to the Director of Sponsored Programs Administration.
Essential Duties
- Help maintain an effective records management systems, including computerized databases, logging systems, and document retention.
- Identify checks received from different sponsors and enter cash receipt in Access database.
- Distribute user requests received in the group email account to the responsible Grant Administrator for handling.
- Familiar with financial software system participating in data input and maintenance, report generating and data analysis.
- Assist with the reconciliation of awards data entered in PeopleSoft systems to ensure the accuracy of data reported on the annual report.
- Follow up on grants or contracts that are approved or disapproved for funding.
- Maintain closed files and prepare records for storage.
- Effectively and professionally interface with administrators, principal investigators, and research staff on the numerous issues related to grant revenue or documentation needed for new account set up,
- Help acquire and generate data needed for scheduled and ad hoc SPA reports
- Provide day-to-day administrative support for the Director and other staff as required.
Required Qualifications
- Bachelor's degree preferably in a business related field and preferably with at least one year of office related work experience OR an Associate’s degree combined with two years of relevant experience.
- Demonstrated understanding and proficiency with automated systems, including databases, spreadsheets and word-processing software, especially Microsoft Office.
- Strong organizational and interpersonal communication skills, ability to work efficiently in a self-directed manner, and a high degree of attention to detail.

Pay Rate:
- $13.76 - $18.43 per hour commensurate with education and/or education

LICENSING ASSOCIATE
Reports To: Interim Director, Technology Transfer
Job Summary
The RI is a 5013c corporation providing research management services to the KUMC campus. The RI Division of Technology Transfer (TT), responsible for commercializing University of Kansas Lawrence campus (KU)/KUMC technologies, seeks an experienced professional to work with the Director and faculty researchers in Life Sciences to evaluate / market new inventions and negotiate / manage various agreements (CDA, MTA, licensing) with industrial and academic collaborators. The office also (a) manages the KU/KUMC patent portfolio working closely with outside counsel and faculty inventors to coordinate all aspects of the patenting process and (b) ensures compliance with institutional policies, Bayh-Dole regulations and applicable laws. This position offers an opportunity to participate in a wide range of TT experiences, work with a well organized data base and participate in building and managing the University of Kansas intellectual property enterprise.
Essential Duties:
- Assist the Director in conducting an analysis, evaluation, and assessment of new invention disclosures.
- Conduct research on market sectors and competing technologies to evaluate e new invention disclosures; recommend and execute marketing strategies.
- Identify appropriate commercial partners, market new technologies to companies, negotiate / draft agreements as required, promote sponsored research opportunities as needed. Commercialization will include licensing to existing companies or developing start-up companies.
- Coordinate / monitor office database activities daily to ensure timely TT data entries. Willingness to follow established TT management procedures is key to success in this position.
- Position will require 40% travel time between Lawrence and Kansas City campuses
- Patent portfolio: assist Director with outside counsel patent prosecution; participate in faculty meetings; develop patent strategies; and track, review, and monitor legal costs associated with protecting university technology.
- Provide mentoring and guidance to the technology transfer student interns.
- Assist the Director in conducting technology transfer education and support programs for KU/KUMC faculty, students and staff.
- Assist staff in conducting KU/KUMC due diligence by monitoring Licensee obligations to meet milestones and reporting requirements; develop recommendations for standard office operating procedures as needed.
- Provide regular updates to the Director on assigned duties. Develop reports as requested using TT database capabilities.
Education Requirements:
Bachelor’s degree required. Advanced degree in life sciences 3-5 years of work experience preferred. Pharmaceutical, biotechnology and/or business experience in lieu of advanced degree will be taken into account.
Required Qualifications:
- Team player with excellent interpersonal skills who understands faculty needs and the university research enterprise; ability to work closely with researchers, top level administrators and senior business executives while maintaining a pleasant work atmosphere is critical for success in this position.
- Self starter who can work under pressure, manage multiple projects and details, meet inflexible deadlines on own initiative, close licensing transactions in timely manner and resolve tech transfer issues as needed.
- Familiarly with patent prosecution process such as prior art searches, preliminary evaluation of novelty, business significance of patent claims and ability to work with patent attorneys to ensure timely filings is preferred.
- Excellent written and oral communications skills to translate scientific concepts into easily understood language for marketing purposes.
- Demonstrates strong desire to develop skills and to excel in tech transfer field.
- Proficient in Internet and PC software applications
