KUMC New Hire Checklist


Prior to the New Employee's First Day of Work

Contact the Human Resources Generalist for your department/school to schedule the new employee for Orientation. If the employee's first day is not on the day scheduled for orientation, employee must complete I-9 documentation with the Employment Office, and an obtain an employee I.D. badge before beginning work. The employee should also sign in with the Payroll Office. For additional information, or questions about payroll, call 913-588-5100. Let the rest of the staff know that a new employee is starting, and what the person's job will be. The supervisor should provide the new employee with the following information:

Schedule for the first week
Documents employee should bring before the first day to ensure compliance with I-9 requirements (Contact the Employment Office, 913-588-5086, for questions regarding documents needed)
Parking information
Directions to the department

First Day on the Job

The supervisor should plan a smooth first day experience for the new employee to ease any apprehension he/she may have about beginning a new job. If the employee is scheduled to attend New Employee Orientation on the first day, escort him/her to that location. Some guidelines to follow include:

Welcome the employee and review/discuss the plans for the day
Tour the immediate area and assigned work space and introduce the new employee to other staff members
Explain where personal items (i.e., purses, coats,) may be secured
Show employee the location of restrooms, cafeterias, and break areas
Provide any keys required, or combinations to door locks
Review the employee's position description and position category (Regent Unclassified, Unclassified Health Care Worker, Classified) and eligibility for overtime
Explain paydays, method for paycheck distribution, date employee should receive first paycheck
Assist employee with obtaining parking permit, if needed
Review the Department's/office's policies and procedures including:
  • Work schedule
  • Telephone, E-Mail, Internet use
  • Time cards/clock
  • Office organization (i.e., file cabinets, supplies, copier)
  • Office resources (e.g., directories, dictionaries, computer program manuals, staff listings, etc.)
  • Customer service philosophy
  • Confidentiality
  • Ethics

The First Week on the Job

Guidelines for activities the supervisor should complete include:

Safety Orientation (the morning following Medical Center Orientation. For location/additional information, contact 913-588-1081)
Schedule new employee for departmental orientation
Make appointment for Picture ID (Contact the Employment Office at 913-588-5086)
Check employee's work area to ensure all needed equipment is in place
Contact Information Technology to obtain access for employee to Groupwise and PeopleSoft. (Contact the Information Resources Help Desk at 913-588-7995.) Review computer hardware and software skills:
  • Starting and signing on
  • Printing
  • Word, Excel, Access, PeopleSoft, PeopleSoft Financials, PowerPoint
  • Groupwise
  • Internet and KUMC website
  • Signing off and shutting down
