    Q. I have a question about how to do something in PeopleSoft - is there someone I can call?
    A. The PeopleSoft Support Help Desk number is ext. 8-1121. Support is available from 7:30 am to 4:30 pm M-F.

    Q. How do I get access to the PeopleSoft system?
    A. Access to each PeopleSoft module is given based on the need for the access and completing the necessary training. See the Training section of our website for details on upcoming classes and training simulations.

    Q. What username and password should I use to login to PeopleSoft?
    A. To use the PeopleSoft HR8 system, you should login with your Novell username and password (the same information you use to login to your computer). To use the PeopleSoft FIN7.5 system, you should login with an 8-character username that was assigned to you by our security staff and a password that you should have changed during your first login.

    Q. I forgot my password for PeopleSoft FIN7.5. What should I do?
    A. Send an email to Jackie Atkins or Dan Arbuckle telling them you forgot your password. They will reset your password and send you an email with your new password information. On your next login to FIN7.5, be sure to change the password they gave you to something only you know. FIN7.5 passwords must not exceed 8 characters in length and cannot contain any spaces or special characters.

    Q. Why do I lose my PeopleSoft HR8 window while waiting for a process to complete?
    A. You may need to change settings within Internet Explorer. View instructions on how to fix this.

    Q. How do I run a query in PeopleSoft FIN 7.5?
    A. While in PeopleSoft, follow the navigation below:

    • View
    • Navigator Display
    • Query

    On the left side of the screen is a list of queries that may be run. Locate the query you need to run. Then single-click on the query to highlight it. Now right-click and a menu will appear giving you options on how to run your query. Select the way you wish to run your query:

    • Run will run the query on the screen only.
    • Run to Excel will run the query to an Excel spreadsheet.
    • Run to Crystal will run the query to a Crystal Report, if you have the Crystal Reports software installed on your machine.

    If you run the query to the screen, the results will not automatically appear on the screen. You must now right-click again on the query name and the options menu will reappear. This time it will give you the option to Print or Print Preview the query. A single-click on one of these options will allow you to view the results on screen and print the query for you. If you run the query to Excel or Crystal, you may use the print options in those programs to print your query results.

    Q. When can I print my timesheets?
    A. Timesheets are generally available the morning of the non-payday Friday.

    Q. Where can I find information about Research Institute-specific (RINST) procedures and rules for using PeopleSoft?
    A. You can find information on Research Institute policies, forms, questions and procedures for using PeopleSoft on the RI website at http://www2.kumc.edu/researchinstitute/spa/grants_monitoring.html.

    Q. Where can I find a list of account (object) codes to use in PeopleSoft?
    A. You can find links to both an alphabetical and a numerical list of account codes on the Purchasing web site at http://www2.kumc.edu/finance/purchasing/account_codes.html.  Either list may be used to determine the correct account (object) code for your PeopleSoft transaction.

    Also, there is a Research Institute-specific list of account codes, which includes some additional account codes necessary for grant/project spending.

    Q. I need to enter a contract number in PeopleSoft - where can I find it?
    A. You can find a list of the state contracts on the Purchasing web site at http://www2.kumc.edu/finance/purchasing/contracts.html

    Q. I would like to print a PeopleSoft screen. Is there any way to do that?
    A. When you have the screen you want to print displayed on your monitor, press the Print Screen key on your keyboard to capture the screen. This key is usually located in the same row as the function keys and may be abbreviated as "PrtScn." Once you have pressed the Print Screen key, open a new document in Microsoft Word or WordPad. Press the Control key and the "V" key at the same time (Ctrl+V) to paste a copy of the captured screen into your document.

    If you would like to capture only a window (e.g., an error message) on your screen and not your entire screen, you may press the Alt key and the Print Screen key at the same time (Alt+PrtScn) to capture only the active window.

    Q. I'm not receiving email reminders about the workflow items I need to process. What should I do?
    A. First, follow the instructions in the Workflow Email/Link Test to test whether your workflow setup is properly configured. If the test fails, our security staff will receive a message and will contact you to correct your workflow setup. If the test succeeds, please call the PeopleSoft Support Help Desk at ext. 8-1121 for further assistance in troubleshooting the problem.

    Q. I forgot to record my requisition number. How can I find it?
    A. Click on the PO Cross Reference icon under KU_User_Inquiry. Enter your last name only in the Requestor Name field. Click on the OK button. The requisition number you are looking for should be in the list.


 

Training

    Q. How do I sign up for a training class?
    A. All of our training classes are listed on our web site under the Training area. Please read the course descriptions to determine which class(es) you need, and then use either the Course Registration page or the Register link next to the course description to sign up.

    Q. I am a new employee. How will I know which class(es) I need to attend?
    A. First, talk to your supervisor about what type of work you will be doing in PeopleSoft. Then, read the course descriptions to determine which class(es) you should attend. If you need additional assistance determining which PeopleSoft classes to take, please call PeopleSoft Support at ext. 8-1121.

    Q. I need to cancel a class for which I've already registered? How do I do that?
    A. When you registered for the class, you received an appointment to the class that you should have added to your Groupwise calendar. To cancel your registration for the class, open the appointment for the class and choose to Decline it with options. In the comments area, please let us know your reason for cancelling. The trainer will then be notified by Groupwise email that you have declined the class.

    Q. Where is the PeopleSoft training classroom located?
    A. The PeopleSoft training classroom is located in Room 114 of the Support Services Facility on 36th Street.

    Q. Will training be held if there is inclement weather?
    A. PeopleSoft training is conducted during the normal hours of operation for KUMED. However, there may be instances where the KUMED Inclement Weather policy (delayed arrival, a full day off or early departure) overlaps the scheduled times for PeopleSoft classes. When the Inclement Weather policy is implemented and it overlaps ANY portion of a scheduled PeopleSoft training class, the class will be canceled. Each cancellation will be reviewed on a case by case basis to determine if the class is to be rescheduled or the attendees will be requested to register for a future scheduled class.     Q. Can I get a replacement/updated manual for a class I took in the past?
    A. Downloadable training manuals are located on our web site in the Manuals section. The version number and revision date of each manual is printed in the lower left corner of every page. You may use this information to determine if an updated manual is available for that PeopleSoft module.

    Q. Where can I get additional copies of the Timekeeping Checklist?
    A. Print as many copies as you like from this .pdf version of the Timekeeping Checklist. 

    Q. How does the Timekeeping process change for pay periods that include a holiday?
    A. The instructions in Timekeeping - Reporting a Holiday outline the special procedures to follow when a pay period includes a holiday.
