Sharing Resources

At times it is helpful to share resources with other people, so that everybody doesn't have to "re-invent the wheel". There are several ways that GroupWise helps users to share resources, and they can even be used together.

Some of these methods include:

  • Sharing Personal Address Books - This is most useful for sharing contact information for people who are not in the System Address Book.
  • Sharing Folders - Useful for allowing others to have access to all of the e-mail messages stored in a Cabinet folder without having to forward them back and forth.

    Tip: It is possible to combine shared resources by creating and sharing a Personal Address Book which includes one or more Personal Groups.

How to Share a Personal Address Book

  1. In the Address Book window, select the address book you want to share.
  2. Click File > Sharing
  3. Under the Sharing tab, click the Shared With radio button
  4. Type the name of the person with whom you want to share the address book > click Add User. If you do not know the name of the person, click the Address book icon . You cannot share address books across external domains.
  5. Click each user's name in the Share List > assign him or her Access rights. The rights you assign depend on whether or not to grant access to other users to modify, add or delete address book entries.
  6. Click OK to save your changes and close the Properties dialog box. or Click Apply to apply your changes and keep the Properties dialog box open. When you click OK or Apply, the person with whom you want to share the address book receives an email notification. Your contact then has the option to accept or decline access to the shared address book. Once the recipient accepts the notification, a new book will be visible in his or her address book with your name (the owner) listed in parentheses.

How To Share Folders

  1. In the Main Window, right-click the folder you want to share > click Sharing.
  2. Click Shared With.
  3. In the Name box, start typing the name of a user, or click the Address Book button to select the user from the Address Book, select the user and click OK.
  4. Click the user's name in the Share List.
  5. Select the access options you want for the user.
  6. Repeat Steps 3-6 for each user you want to share the folder with
  7. Click OK
