Creating Personal Address Books & Groups

You can create, edit, and save any number of personal address books. You have full rights to add and delete names and address information for any person, company, or resource you want in your personal address books.

When you create a personal address book, a folder is added to the main Address Book window. When you create multiple address books, you can include the same name and address in several books. If the entry is copied from an address book and you edit the entry's information in one book, it is updated in all books.

Personal address books list addresses according to your preferences. For example, you can include Internet addresses or no address at all for the people you add to your personal address books.

To create a personal address book:

  • Click the Address Book icon in the toolbar.
  • Click File > New Book.
  • Type a name for the new book and click OK.
  • To add names to the new address book, click the New icon.
  • Click the Entry Type, Contact, and click OK.
  • Fill in the fields for the entry.  Name and email address is all that’s required.
  • Click OK.  The personal address book will look something like the one above.

To Copy Usernames From One Address Book To Another

  1. Choose the address book you want to copy names from.
  2. Select the usernames you wish to copy (Hint: Use Shift-Click to copy a block of names or Ctrl-click to selectively choose names)
  3. Drag the name(s) to the book that you want to copy the names to.

Personal Groups

 

To create a personal group:

  • In the address book, click the New icon.
  • Click the Entry Type, Group, and click OK.

In the New Group window:

  • Enter a name for the group.
  • Click on Add… to add members

In the Select Group Members window:

  • Choose the address book to Look in.
  • Select the contact, group, or resource.
  • Click on To, CC, or BC.
  • Once you are done, click on OK.

Back to the New Group Window:

  • Click OK (it takes a few seconds to save).

Using Groups to Address Items

  1. In an item view, click Address
  2. Select a group > Click To, CC, or BC
  3. Repeat as necessary
  4. Click OK to return to the item view
